3. Application, acceptance and evidence

3.1. These terms apply to the use of the Website and of the App. For a Business they apply in full from the moment an account is created. For a Visitor without an account only the provisions of 3.8 apply. They do not apply between the Business and its Customers: the Business arranges that relationship itself (chapters 5 and 9).

3.2. You accept these terms (with the Data Processing Agreement, which forms part of them) and confirm that you have read the privacy statement by ticking the box provided when you sign up. As evidence, Bookable keeps: which version of the texts you accepted (a fingerprint of the Dutch text), in which language, when, by which User, a non reversible code of the IP address and a short description of the browser. Before you switch on intake, documents or the treatment record, you also accept the Data Processing Agreement separately in the app.

3.3. For Businesses that existed before these terms, and for every Business after a new version, we ask an owner to accept them at the next login. Until then the owner can only view the subscription and the privacy data (with the export); the booking page keeps working as normal.

3.4. You can always read, print and keep these terms at bookable.be/en/terms-and-conditions, in Dutch, French and English. We send you older versions on request via info@bookable.be.

3.5. The parties accept that acceptance by ticking a box, the records in the app (such as the audit log and the stored version and time) and emails are valid evidence of the agreement and of what happened, unless the contrary is proven.

3.6. Anyone who creates an account on behalf of a Business declares that they may represent the Business.

3.7. The general terms of the Business itself do not apply against Bookable, unless we accept them in writing.

3.8. Visitors to the Website. Anyone who visits the Website without creating an account does not enter into an agreement with Bookable and is not bound by the provisions on the Subscription. Only the following apply to a Visitor: chapters 1 to 3, chapter 11 (acceptable use), 14.4 (content of the Website), 16.6 (information on the Website), 19.6, chapters 20 to 22, the privacy statement and the overview of cookies. All other provisions, including those on the Trial Period, the Subscription, payments, exporting and deleting data and the Data Processing Agreement, apply only to a Business with an account.

3.9. A question or request through a form on the Website, by email or by phone is without obligation. An agreement only comes into being when a Business creates an account under 3.2, or when we confirm a quotation in writing (8.1.4).

4. The Service

4.1. Bookable offers an online platform with which the Business lets customers book and pay online for appointments, stays, classes, tickets and other products, manages its calendar and Customers, and has messages sent to Customers. Annex A describes step by step what the Service does and which data are processed in doing so. Which functions are available depends on the plan, the sector of the Business and the functions that the Business or Bookable switches on.

4.2. Functions that are listed as "planned" in Annex A are not available and are not part of the Service until they are in the app.

4.3. Bookable may improve and adapt the Service, and add or change functions. We will not remove or restrict a function that is essential to your use without giving you at least 30 days' notice. If you do not agree, you can stop before the change takes effect, with a refund of the part paid in advance after that date.

4.4. Messages. Bookable sends messages to Customers in the name of the Business, today only by email (including confirmations, changes, cancellations, payment requests and, if the Business switches that function on, follow up messages). Today Bookable does not send a reminder the day before an appointment. Bookable does not guarantee that every message arrives or is read in time: email also depends on the recipient's mailbox.

4.5. No advice. Bookable gives no legal, tax, accounting, medical or financial advice. See chapter 5.

5. Role of Bookable and responsibility of the Business

5.1. Bookable supplies software only. Bookable provides a tool. Bookable is not a party to the agreements between the Business and its Customers, does not perform the Business's services, and does not act as an intermediary, agent or representative of the Business or of its Customers.

5.2. The Business's service. The Business alone is responsible for its own services and products: the treatments, classes, stays, performances and advice, their quality, safety and result, and everything that happens during an appointment or stay, such as injuries, allergic reactions, damage to property or animals, and the conduct of the Business, its staff and its Customers. Bookable is not liable for these.

5.3. Rules of the profession and the sector. The Business alone is responsible for complying with the rules that apply to its profession, its sector, its Customers and its country, including: permits, accreditations and registrations; the protection of professional titles; the rules on reserved acts and on cosmetic and medical products; patients' rights; animal welfare; tourism, guest registration and tourist tax; organising events and selling tickets; information duties towards consumers; price indication and VAT rates per service; and its own bookkeeping. Annex B gives examples per sector.

5.4. What the Business fills in. The Business alone is responsible for all texts, prices and settings that it fills in or leaves in the Service, such as its cancellation terms and the sliding scale, deposits, no show rules, house rules, validity of vouchers and session cards, questions in an intake (including health questions), consent texts, privacy text, retention periods, VAT rates and the details on payment receipts and certificates.

5.5. Templates and defaults. Templates per trade, example texts, default values and suggestions in the app are a starting point, not advice, and are not adapted to the situation of the Business. Fields about regulation can always be changed and have a neutral default. Where the app says "Have this checked by your professional association or lawyer" or "by your accountant", Bookable asks the Business to really do so. The app refuses some treatments as a default service in a template (Annex B.3); that is an aid and not a check of what the Business adds itself.

5.6. Customer data. The Business is the controller of the personal data of its Customers. It provides a legal basis, the consents that are needed (including the explicit consent or another exception for health data, article 9 GDPR), the information to its Customers, and the answers to their questions about their data. Bookable helps with this under the Data Processing Agreement.

5.7. Health and care. Bookable is not a care provider, not a medical device and not a complete patient file. The app makes no diagnosis and gives no medical advice. An intake, a treatment record or a certificate in Bookable is a tool of the Business; the Business remains responsible for its file under the rules of its profession.

5.8. Indemnity. The Business indemnifies Bookable against claims from Customers, authorities or third parties, and against the reasonable costs of defence, arising from the Business's services, from the content and settings that the Business filled in, or from use of the Service in breach of these terms or of the law. Bookable notifies the Business of such a claim as soon as possible and lets the Business take part in the defence.

6. Account and access

6.1. You sign in with a link sent by email (valid for 15 minutes) or with a Google account. Bookable uses no passwords. A session stays valid for 30 days.

6.2. You keep access to your mailbox and your Google account secure, and you manage yourself who gets access as a User and with which role. What a User does in your account counts as an act of the Business.

6.3. Tell us immediately if you suspect that someone has access to your account without permission.

6.4. You keep the details of your Business (name, legal name, address, VAT number, email address of the owner) correct and complete.

7. Trial Period

7.1. A new Business gets a Trial Period of 14 days, free and without payment details. The Trial Period does not turn into a paid Subscription by itself. What happens during and after the Trial Period is set out in 8.5.

8. Payments, subscription and cancellation

This chapter describes how the Business's subscription with Bookable works, exactly as the app does it today.

8.1 Plans and prices

8.1.1. Bookable offers two plans: Start and Praktijk. You pay per month or per year.

8.1.2. The prices at the time of this version, excluding VAT:

PlanPaid monthlyPaid yearly
Start34,00 euros per month29,00 euros per month, so 348,00 euros per year
Praktijk58,00 euros per month49,00 euros per month, so 588,00 euros per year

8.1.3. On the website and in the app we show the lowest monthly price as a "from" price (from 29 euros or from 49 euros per month, when paid yearly). The price that applies is the price that the management area shows at the time you choose, with the amount including VAT on the button you pay with.

8.1.4. The Maatwerk (custom) package runs through a separate quotation and does not fall under this chapter, unless the quotation refers to it.

8.2 VAT, currency and invoices

8.2.1. All amounts are in euros. Each amount is increased by 21 percent Belgian VAT. This applies today to all Businesses, including in the Netherlands: the app does not yet apply a reverse charge mechanism.

8.2.2. After each successful payment Bookable makes an invoice as a pdf. A period paid entirely with Credit also gets an invoice (for 0 euros). The payment of 1 cent to verify a payment method (8.3.4) gets no invoice.

8.2.3. Invoices have continuous numbering without gaps per calendar year, in the form B2026-00001. An invoice cannot be changed or deleted after it is made.

8.2.4. Bookable emails the invoice to the owners of the Business. It is also in the management area under Settings, Subscription, where the owner can download it.

8.2.5. The invoice shows the details of the Business as filled in in the app at the time of the invoice: the legal name (or otherwise the name of the Business), the address, the VAT number and the language. You keep those details correct. An invoice with wrong details because of an error in your input is corrected by Bookable, at your request, with a credit note and a new invoice.

8.2.6. Bookable makes a credit note only for a full refund or a chargeback (8.8). A credit note cancels the whole invoice, uses the same number series and refers to the original invoice.

8.2.7. Electronic invoicing: today Bookable makes pdf invoices. As soon as the law requires Bookable to send structured electronic invoices (in Belgium via the Peppol network), Bookable will do so. Your Business may be asked to have a Peppol address for that.

8.3 Payment method and direct debit

8.3.1. Bookable collects the subscription through Mollie B.V., a payment institution with which Bookable has its own agreement. Bookable does not see your full card number or account number.

8.3.2. You make the first payment with Bancontact, iDEAL or a card. With that first payment you give Bookable permission (a mandate) to collect the following amounts of your subscription automatically: by SEPA direct debit from the account you paid with, or on the same card. Mollie collects on behalf of Bookable.

8.3.3. By making that first payment you agree that Bookable collects under that mandate: the amounts of each new period and, after a switch (8.6) or a failed payment (8.7), the amounts described there.

8.3.4. Changing the payment method. You can choose another payment method in the management area. For that Bookable asks for a payment of 1 cent, which is refunded automatically straight away. As soon as that payment has succeeded, the new mandate replaces the old one and Bookable revokes the old mandates.

8.3.5. Advance notice of a collection. Bookable does not send a separate email before each collection. The amount and date of the next payment are always shown in the management area (under "Next payment on" followed by the date), and at the first payment the app shows the amount and the date of the next collection. You accept that this is enough as prior notice of the collection.

8.4 Periods and collection dates

8.4.1. A period begins and ends at 00:00, Belgian time. A monthly period runs until the same day of the next month (if that day does not exist, until the last day of that month). A yearly period runs until the same day a year later.

8.4.2. Each period is paid in advance. Bookable collects the amount of a new period on the first day of that period, not earlier.

8.4.3. If there is Credit (8.6), it is used first. If the Credit covers the whole period, Bookable collects nothing and you get an invoice for 0 euros.

8.5 Trial Period and the move to a subscription

8.5.1. A new Business gets a Trial Period of 14 days, free and without having to give payment details. Bookable may extend a Trial Period.

8.5.2. On day 12 of the Trial Period Bookable sends you an email that the trial ends in 2 days. On day 14 an email follows that the Business is paused if you did not choose a subscription, and on day 21 a reminder.

8.5.3. The Trial Period does not turn into a paid subscription by itself. If you do not choose a subscription before the end, the Business is paused (8.11).

8.5.4. Choosing during the Trial Period. If you choose a plan during the Trial Period, you pay straight away. The period starts on the day the payment succeeded, and the remaining days of the Trial Period are added on top. The day of payment counts as used; on the last day of the Trial Period there are therefore no remaining days. Remaining trial days have no monetary value and do not count at a later switch.

8.5.5. If you change your choice during the Trial Period before you pay, only your choice changes and nothing is charged.

8.6 Switching plan or period

8.6.1. You can always switch between Start and Praktijk and between monthly and yearly. A switch applies immediately: the day of the switch still counts as used in the old period, and the new period begins the next day at 00:00.

8.6.2. The unused part of the current period is offset per day as Credit: what you paid for that period (with the Credit that was used in it, and never more than the list price), times the number of remaining days, divided by the number of days of the period, rounded down to a cent.

8.6.3. You pay the price of the new period minus your Credit. If the Credit is greater than that price, the remainder stays as Credit for the following periods. Examples:

  • from monthly to yearly: you pay the yearly price minus the Credit;
  • from yearly to monthly: the Credit is offset against the following monthly instalments until it is used up.

8.6.4. Before you switch, the management area shows the amount you will pay. If that amount changes before you confirm, the app refuses the switch and shows the new amount.

8.6.5. Switch in progress. A switch is collected with your existing mandate. It only applies once the payment has succeeded. A SEPA direct debit can take a few days; until then your current subscription simply continues and you cannot switch again or stop. If the new period starts later as a result, Bookable recalculates the switch at the moment the payment succeeded; a small difference to your disadvantage is borne by Bookable. If the payment of a switch fails, nothing changes and no arrears arise.

8.6.6. A Credit is never paid out in money. It lapses at the moment a stop takes effect (8.10).

8.6.7. If you switch after you have stopped but before the end of the period, the switch cancels the stop.

8.7 Failed payment and arrears

8.7.1. If the collection of a period fails, your subscription is in arrears ("Payment open"). You immediately get an email with a "Pay now" button.

8.7.2. Bookable tries the collection again with your mandate after 3 and after 7 days.

8.7.3. If there is still no payment 10 days after the failed collection, the Business is paused (8.11). You get an email about it.

8.7.4. With "Pay now" you pay the oldest outstanding amount; that payment also creates a new mandate. As soon as that payment has succeeded, the subscription is active again and the Business opens again, unless Bookable paused the Business for another reason.

8.7.5. If the period ran out during the pause, a new series of periods begins from the next day after payment. The months of the pause are then not charged.

8.7.6. Interest and costs. In case of late payment Bookable may claim the interest and the fixed compensation for recovery costs that the law of 2 August 2002 on combating late payment in commercial transactions allows. Today Bookable does not apply these automatically.

8.7.7. Arrears do not by themselves end the agreement. Bookable can end the agreement under 8.12.

8.8 Chargebacks and refunds

8.8.1. If you have a collected payment reversed with your bank or card issuer (a chargeback), Bookable makes a credit note for that invoice and the subscription is in arrears as in 8.7, except that Bookable does not collect again automatically: you pay with "Pay now". After 10 days the Business is paused. The costs that Mollie charges Bookable for an unjustified chargeback can be passed on to you by Bookable.

8.8.2. Bookable does not refund paid periods, except:

  • if the law mandatorily requires it;
  • if Bookable stops the Service (8.12.3);
  • if a payment was made twice or a replaced choice was paid anyway: Bookable refunds that automatically in full;
  • if Bookable decides so itself in a particular case.

8.8.3. A refund is made to the account or card you paid with, with a credit note in case of a full refund.

8.9 Price changes

8.9.1. Bookable may change its prices for a valid reason, such as increased costs of suppliers or of operations, inflation, or new functions in a plan. We announce a price change at least 30 days in advance by email to the owners of the Business and in the management area.

8.9.2. The new price applies from the first period that begins after that notice. During a paid year the price does not change.

8.9.3. If you do not agree, you can stop before the new price takes effect, at no cost.

8.10 Stopping (cancelling) by the Business

8.10.1. Only an owner of the Business can stop the subscription, in the management area: Settings, Subscription, Stop subscription, and then Stop my subscription. Stopping is not possible during the Trial Period (you then simply do not choose a subscription), not during arrears and not while a switch is in progress.

8.10.2. Monthly: the subscription continues until the end of the current paid monthly period and then stops. That period runs from the day it began until the same day of the next month, and so does not always coincide with the calendar month. The app shows the exact end date.

8.10.3. Yearly: the subscription continues until the end of the paid year and then stops. There is no refund, not even for part of the year.

8.10.4. You get an email with the end date. Until that date you can simply carry on working and you can undo the stop with the button Carry on after all.

8.10.5. On the end date the subscription stops, any remaining Credit lapses, and the Business is paused (8.11). Bookable collects nothing after that and no longer uses the mandate. There is no final invoice: each period is invoiced in advance.

8.10.6. After stopping you can choose a plan again later. You then pay the full price of the new period straight away.

8.10.7. Effect on your Customers. Stopping or pausing changes nothing about the appointments, stays, tickets, vouchers and deposits that your Customers already booked or paid with you. They remain commitments between you and your Customers. You notify your Customers yourself and refund them yourself where needed (chapter 9). During a pause your booking page accepts no new bookings.

8.11 Pause

8.11.1. A paused Business can still log in and read everything, but cannot change anything. The booking page accepts no new bookings. Nothing is deleted by the pause itself.

8.11.2. A Business is paused: after the Trial Period without a subscription, after 10 days of arrears, after the end of a stopped subscription, or by Bookable under 8.12 and chapter 12.

8.11.3. A pause because of payment ends as soon as the payment has succeeded. A pause by Bookable for another reason ends only if Bookable lifts it.

8.12 Termination and suspension by Bookable

8.12.1. Bookable may pause the Business or end the agreement, after an email stating the reason and a reasonable period to fix it (at least 14 days for a pause and 30 days for a termination), in case of: arrears of more than 60 days; a serious or repeated breach of these terms; misuse of the Service. In case of unlawful use, fraud or an acute risk to the security of the Service or of data, Bookable may pause immediately, and informs you as soon as possible afterwards. You can respond to the decision under chapter 20.

8.12.2. During a pause by Bookable because of a breach the subscription continues to run and remains payable, unless Bookable decides otherwise.

8.12.3. Bookable may stop the Service for all Businesses or for one Business without fault of the Business, with a notice period of at least 3 months. Bookable then refunds the part paid in advance after the end date.

8.13 Automatic renewal

8.13.1. A subscription renews automatically for the same period (a month or a year), until you stop under 8.10.

8.13.2. For a yearly subscription Bookable sends you, 30 days before the renewal, an email with the plan and the date of the renewal, and with the way to stop. That email is not sent if you have already stopped.

8.14 Keeping payment data

8.14.1. Bookable keeps its invoices, credit notes and the data of the subscription payments (amounts, status, Mollie ids, type of payment method, never a full card number or account number) for as long as accounting legislation requires. A Business with invoices can therefore not be deleted completely; only the data that are not needed for the bookkeeping are deleted.

8.14.2. The Business keeps its own bookkeeping and keeps Bookable's invoices itself.

9. Payments between the Business and its Customers

9.1. Directly to the Business. Customers pay a deposit, the full amount, a balance, a security deposit, an instalment of a payment plan, a ticket, a gift voucher or a package through Mollie Connect, directly into the Business's account with Mollie B.V. Bookable never receives that money, never holds it and does not pass it on. Bookable is not a payment institution and not a party to that payment.

9.2. Agreement with Mollie. The Business enters into an agreement with Mollie itself, accepts Mollie's terms and goes through Mollie's checks itself. The Business links its Mollie account in the app; for that Bookable only asks for the rights to create and read payments and refunds and to read the profile and organisation data. The Business can break the link, except while deposits are still open.

9.3. No commission. Bookable takes no commission or fee on Customer payments. The Business bears Mollie's costs for those payments, under its agreement with Mollie. If Bookable ever wants to charge a fee per payment, that is a change to these terms under chapter 10, which applies only to Businesses that expressly accept it.

9.4. What Bookable passes to Mollie. When creating a payment Bookable gives Mollie: the amount, a neutral description (for example "Deposit" with the service, date and time), the language, the return link and internal numbers of the booking or order and of the Business. Bookable does not pass on the name, email address or phone number of the Customer. The Customer enters their payment details themselves with Mollie.

9.5. Responsibility of the Business. The Business decides and is alone responsible for:

  • whether it asks for a deposit or the full amount, and how much;
  • how long an unpaid booking is held (by default 120 minutes, to be chosen between 30 minutes and 24 hours), after which the app lets the booking lapse;
  • its cancellation terms and the sliding scale (which part of the deposit it keeps on cancellation), and the text that the Customer accepts about this;
  • its rules for no shows. The app only records an amount that the Business can itself ask the Customer for; Bookable never charges anything automatically;
  • refunds: the Business decides them and carries them out in the app or with Mollie. A refund is taken from the Business's balance with Mollie. The app refunds automatically in the cases that the Business sets or that follow from its settings: on cancellation under the sliding scale, on a payment that arrives late or twice, and on cancellation of a performance (tickets, with the service fee);
  • the VAT on its sales and its invoices. The proof of payment that the app makes for the Customer is expressly not a VAT invoice. If the Customer is entitled to an invoice, the Business makes it itself;
  • chargebacks and disputes with Customers: the app reports a chargeback to the Business, but does not change the booking. The Business resolves the dispute with the Customer and with Mollie;
  • gift vouchers and packages: validity, expiry and refund. The app proposes a default validity (gift voucher 12 months in Belgium and 24 months in the Netherlands; a package has no default and the Business chooses 1 to 60 months). Those values are neutral and can be changed, not advice;
  • payment plans in instalments: the app sends a payment link per instalment on the due date and a reminder, and freezes the remaining credit if an instalment is not paid after the set period. There is never an automatic debit. The Business is responsible for the terms of such a plan, including the rules on consumer credit if they were to apply;
  • the security deposit for stays: an ordinary payment that the Business refunds itself after the stay; the app reminds the Business (by default 14 days after departure);
  • the tourist tax: the app calculates an amount with the rates that the Business fills in and includes it in the price. The amount lands in the Business's account. The Business declares it and pays it to its municipality;
  • tickets: price, service fee, refund on cancellation or postponement, and the rules on resale (the app has no rules on this).

9.6. Failed and fraudulent payments. A failed, cancelled or expired payment leaves the booking open until the holding period has passed; the Customer can pay again. Bookable does not check payments for fraud; Mollie does that under its own rules. Bookable is not liable for the consequences of fraud by a Customer.

9.7. Amounts. The app imposes no minimum amount; Mollie may apply a minimum per payment method. All amounts are in euros.

9.8. Outages at Mollie. To the extent the law allows, Bookable is not liable for damage caused by an outage, delay, refusal or error of Mollie, or by a decision of Mollie about the Business's account (16.2).

9.9. Bookkeeping of the Business. The app offers a list of payments and refunds as a csv for the accountant. The Business keeps its own bookkeeping and keeps its own records for as long as the law requires. Customer payments are today kept in Bookable until the Business is deleted (13.3); even if a Customer is deleted, the payments are kept for the bookkeeping.

10. Changes to these terms

10.1. Bookable may change these terms. We announce material changes at least 30 days in advance by email to the owners and in the management area, with the new text and the date on which it takes effect. A change that the law requires or that is only to your advantage may take effect sooner.

10.2. If you do not agree, you can stop before the change takes effect, at no cost and with a refund of the part paid in advance after that date. After the effective date we ask you to accept the new version with a tick box when you log in.

10.3. Bookable keeps which version you accepted and when.

11. Acceptable use and unlawful content

11.1. You use the Service only for lawful purposes and for your own professional activity. You may not resell the Service or make it available to third parties outside your Users.

11.2. It is not allowed to:

  • send messages that Customers do not expect or have not asked for, such as advertising without consent;
  • upload or publish content that is unlawful, misleading, insulting, discriminatory or infringing, or offer services that you may not offer;
  • test, bypass or attack the security of the Service, overload the Service, or extract data from the Service by automated means outside the exports;
  • try to view data of other Businesses;
  • store health data or other sensitive data in fields that are not meant for it, such as the name of a service, an ordinary note on a Customer, a question without the sensitive label, or a message. Use the intake with sensitive questions, the documents and the treatment record for that;
  • process Customer data without a valid legal basis;
  • use the Service in a way that causes damage to Bookable, Mollie or other Businesses.

11.3. Reporting unlawful content. Anyone can report content on a booking page or mini website that they consider unlawful to info@bookable.be, giving the location (url), the reason and their details. Bookable looks at every report carefully, decides within a reasonable period, and lets the reporter and the Business know what it decides and why.

12. Suspension in case of a breach

12.1. In case of a serious breach of chapter 11, or a reasonable suspicion of one, Bookable may restrict the Service for the Business, make content invisible or pause the Business. Where possible we notify you first and give you the chance to fix it (8.12.1).

12.2. Bookable explains the reason by email. You can respond to info@bookable.be; Bookable then reconsiders the decision.

13. Data, export and deletion

13.1. The data that you and your Customers enter in Bookable remain the Business's. For the personal data of Customers and Users, the Business is the controller and Bookable is the processor. The Data Processing Agreement governs that. For the data of the Business and its Users that Bookable needs for its own operations (account, subscription, invoices, support), Bookable is the controller; see the privacy statement.

13.2. Export. You can use the exports that the app offers: per Customer a zip with all data of that Customer (including intake and documents), a list of payments as a csv, and the other exports that Annex A mentions. Those exports are also possible during a Pause.

13.3. After the end. After the end of the Subscription, or after the end of the Trial Period without a subscription, your data remain available for export for 90 days, in Pause. That period of 90 days is also already stated in the app's emails about the pause. After that Bookable deletes them within 30 days, including from the document storage, except what Bookable itself must legally keep, such as its invoices to you and the payment data that go with them (8.14). From the backups they disappear within the retention period of those backups (Annex A). Bookable notifies you at least 14 days before deletion.

13.4. Switching to another service. If the Business wants to switch to another service or to its own system, Bookable helps with that under the rules on switching between data processing services in the Data Act: the Business can request the switch with a notice period of at most 2 months; Bookable provides the exportable data in a common, machine readable format during a transition period of at most 30 calendar days; the data then remain available for at least 30 days to be collected; after a successful switch Bookable deletes them. Bookable charges no costs for this.

13.5. Legal retention duty of the Business. Data that the Business itself must keep by law (such as payments, certificates, the guest register or medical data), the Business exports in good time. After the period in 13.3 Bookable does not keep them for the Business, unless the parties agree otherwise separately.

13.6. Bookable may make anonymised and aggregated statistics about the use of the Service, such as numbers of bookings per Business or sign ups per page, without any Customer being identifiable, in order to manage and improve the Service.

14. Intellectual property

14.1. Bookable remains the owner of the platform, the software, the templates, the design and the brand name Bookable. You get a non exclusive, non transferable right to use the Service for as long as the agreement runs.

14.2. You remain the owner of your logo, photos, texts and other content. You give Bookable the right to store that content, adapt it to the format of the Service and display it, only in order to provide the Service. You declare that you have those rights, including for photos of people.

14.3. Bookable may freely use suggestions and wishes that you give us to improve the Service.

14.4. Content of the Website. The texts, images, logos, example pages and design of the Website belong to Bookable or its licensors and are protected. You may view them and share them with a link. Copying, adapting or using them elsewhere is only possible with our prior permission, except as the law allows.

15. Availability, maintenance and support

15.1. Bookable does its best to keep the Service available, secure and error free. That is a best efforts obligation. Bookable aims for an availability of 99,5 percent per calendar month, measured on the booking pages, excluding planned maintenance. That is a target and not a guarantee: if it is not met, that does not in itself give a right to compensation.

15.2. We announce planned maintenance with an expected interruption of more than 15 minutes at least 48 hours in advance in the management area or by email, and plan it as far as possible outside busy hours. Urgent maintenance for security may take place without notice.

15.3. The Service depends on third parties, including the hosting of the App (Render), the hosting of the Website and our mailbox (Bhosted), the sending of emails by the App (Postmark), the file storage (Cloudflare), the payments (Mollie), signing in with Google, and in the future WhatsApp (Meta) and calendars of Google and Microsoft. Outages or changes at those third parties are outside Bookable's control.

15.4. You get support via info@bookable.be and through the help requests in the app, on working days. We answer as soon as possible, at the latest within 2 working days to a report that the booking page does not work, and within 5 working days to other questions.

15.5. We advise you to make an export regularly and to keep your own overview of your most important appointments.

16. Liability

16.1. Bookable is only liable for damage that results from a failure of Bookable under this agreement or from a fault of Bookable.

16.2. Bookable is not liable for:

  • indirect damage, such as lost profit, missed bookings, loss of customers, damage to reputation, or loss of data that you could have exported yourself;
  • damage caused by the services, content, settings or decisions of the Business (chapter 5);
  • damage caused by an outage or an error at a third party named in 15.3, to the extent that Bookable chose that third party carefully and did not itself cause the outage;
  • damage caused by a payment, a refund or a dispute between the Business and a Customer (chapter 9);
  • fines or sanctions imposed on the Business for its own compliance with the law.

16.3. Bookable's total liability per calendar year is limited to the amount that the Business paid to Bookable in the 12 months before the event causing damage, with a minimum of 500 euros. During the Trial Period it is limited to 100 euros.

16.4. These limitations and exclusions do not apply in case of intent, fraud or gross negligence of Bookable or of those who work for Bookable, nor to damage caused by a fault that harms the life or physical integrity of a person, nor to non performance of Bookable's essential obligations except in case of force majeure, nor where the law prohibits a limitation. Article 5.89 of the Belgian Civil Code allows an exemption for gross negligence, but article VI.91/5, 6° WER presumes such a clause between businesses to be unlawful; that is why Bookable excludes gross negligence from the limitation.

16.5. You must report a claim against Bookable in writing within 1 year after you knew of the damage.

16.6. Information on the Website. The information on the Website is general and meant to inform you. It is not a quotation and not legal, tax or other advice. Bookable does its best to keep it correct and up to date, but does not guarantee that it is complete or that the Website is always available. Prices on the Website are "from" prices excluding VAT; the price that applies is the one in the management area (8.1.3). Bookable is not liable for damage caused by the use of the Website or of third party sites that the Website links to, except in case of intent, fraud or gross negligence and to the extent that the law allows the exclusion.

17. Force majeure

17.1. Neither party is liable for a failure caused by force majeure: an event beyond its control that it could not reasonably foresee or avoid, such as an outage at a supplier named in 15.3, an attack on the infrastructure, a failure of the internet or electricity, a government measure, fire or flood, or illness of Silvio De Maeyer as sole operator. Force majeure is an impossibility to perform that cannot be attributed to the party; whoever relies on it notifies the other party within a reasonable period (article 5.226 of the Belgian Civil Code).

17.2. If the force majeure lasts longer than 30 days, either party may end the agreement. Bookable then refunds the part paid in advance after the date of termination.

17.3. Force majeure does not release the Business from paying for periods in which the Service did work.

18. Duration and end

18.1. The agreement runs for an indefinite period, per period of the Subscription, until it ends under these terms.

18.2. You can stop as in 8.10. Bookable can terminate as in 8.12 and 17.2.

18.3. At the end, 13.2 to 13.5 apply to the export and deletion. Provisions that by their nature also apply after the end (such as 8.14, 13, 16, 18, 22 and the Data Processing Agreement until the data are deleted) continue to apply.

19. Businesses, consumers and Dutch Businesses

19.1. Bookable is intended for businesses. By creating an account you declare that you use Bookable for your professional or business activity, even if you are a sole proprietor or practise a liberal profession. The WER understands a business to be, among others, every natural person who independently pursues a professional activity and every legal person, and a consumer to be every natural person acting for purposes outside their commercial, business, craft or professional activity (article I.1 WER).

19.2. The right of withdrawal for consumers in distance contracts therefore does not apply. The free Trial Period lets you try the Service first.

19.3. Between Bookable and the Business, the rules on unfair terms between businesses in articles VI.91/1 to VI.91/7 WER apply. Bookable wrote these terms with those rules in mind.

19.4. If a court decides that you are acting as a consumer after all, the mandatory rules of consumer law remain applicable, even where these terms say something different.

19.5. For Businesses in the Netherlands Belgian law applies (article 21). The Dutch rules on general terms and conditions (section 6.5.3 of the Dutch Civil Code) do not apply, under article 6:247, paragraph 2 of that code, to agreements between businesses that are not both established in the Netherlands. Other mandatory Dutch rules may nevertheless apply.

19.6. A Visitor who is a consumer and does not create an account keeps all the mandatory rights that the law gives them. The provisions of 19.1 to 19.5 do not apply to them.

20. Complaints and contact

20.1. You send a question or complaint to info@bookable.be. We confirm receipt and answer as soon as possible, at the latest within 10 working days.

20.2. If you cannot find a solution with us, the parties may first try mediation before going to court.

21. Governing law and competent court

21.1. Belgian law applies to this agreement.

21.2. We first submit a dispute to consultation. If that fails, the Dutch speaking enterprise court of the judicial district of East Flanders alone has jurisdiction.

21.3. The choice of Belgian law and of the Dutch speaking enterprise court in 21.1 and 21.2 applies to Businesses. A Visitor who is a consumer keeps the mandatory rules and the court of their place of residence.

22. Final provisions

22.1. If a provision is invalid, the other provisions remain in force. The invalid provision is replaced by a valid one that comes as close to it as possible.

22.2. These terms with their annexes, the privacy statement and the Data Processing Agreement together form the complete agreement. In case of contradiction on personal data the Data Processing Agreement prevails; otherwise these terms prevail over the annexes.

22.3. Bookable may transfer this agreement to a successor of its activity, for example on conversion into a company or a takeover, provided you are notified at least 30 days in advance. You can then stop before the transfer takes effect. The Business can only transfer the agreement with Bookable's consent.

22.4. Notices are given by email: from Bookable to the email address of the owners of the Business, from the Business to info@bookable.be. An email is deemed received on the day of sending, unless the sender received an error message.

22.5. The fact that Bookable does not exercise a right immediately does not mean that it waives that right.

22.6. These terms exist in Dutch, French and English. In case of difference the Dutch text prevails.

Annex A. Description of the service and of the data flows

This annex describes how the Website and the App work on 13 October 2026. It also serves as the description of the processing in the Data Processing Agreement. What is planned does not work today and is not part of the Service until it is in the app.

A.1 Where everything runs

  • The web app, the background tasks (worker) and the database (Postgres 17) run at Render, in the Frankfurt region (Germany). The database is not reachable from the internet, only through Render's internal network.
  • Logos and photos are in a public bucket at Cloudflare R2. Customers' documents are in a separate, private bucket at Cloudflare R2, through the European address of R2.
  • The App sends emails through Postmark. The domain bookable.be (DNS) is at Strato.
  • The Website bookable.be (WordPress) and the mailbox info@bookable.be are at Bhosted in the Netherlands. The Website sends its emails (requests to info@bookable.be) through the mail server of Bhosted.
  • Every table with data of a Business has a column with the Business and row level security: per request the app only sees the rows of the active Business.

A.2 Signing up and starting (built)

  1. A visitor opens /start. The app sets the cookie bk_start with a random id and the page and button through which they came.
  2. The visitor chooses a trade, the country (Belgium or the Netherlands), the name of the business (with Google this may follow later), and optionally the box for tips and news (off by default; only a "yes" is kept, with time and version).
  3. They choose "Continue with Google" or "Send my link". An emailed link is valid for 15 minutes. With Google, Bookable keeps the email address, the name and the id of the Google account, but no tokens from Google.
  4. The request (email address, name of the business, trade, country, source, button, consent for news) is valid for 24 hours. After the Business is created, the Business and the owner are created, the Trial Period of 14 days starts and the follow up emails are scheduled.
  5. Retention: an unfinished request is deleted 7 days after it expires, a finished one after 13 months. The sign up steps (without IP address) are summarised per month after 12 months and then deleted. Bookable sees these steps only as counts; groups of fewer than 3 fall under "Other".
  6. Follow up emails from Bookable to the Business: a welcome email, and after 1 and 3 days an email with help if certain steps are still open, only between 8 and 21 hours. Each email has a link to unsubscribe (also with one click in the mailbox). On day 12 of the Trial Period an email follows about its end, on day 14 an email about the pause and on day 21 a reminder. Those emails say that the data are kept for 90 days; deletion after that period follows article 13.3.
  7. Waiting list for a family that is not open yet: an email address with the family, the trade and the language, to notify once. Deleted 30 days after the notification and in any case after 24 months.
  8. When signing up the visitor ticks the terms and conditions and the privacy statement; the app keeps the evidence (see article 3.2). Planned: a referral programme (/start?ref=CODE, cookie bk_ref).
  1. Measuring the sign up: under /start the App loads Google Analytics (GA4), only if the visitor gave consent on bookable.be for statistics or marketing (the cookie bk_toestemming). Without a choice everything stays refused. What is measured includes the start of the sign up, the click on Google, the creation of the account and the steps of the set up, with the trade and the method, without name or email address. The management area and the booking pages of Customers are not measured.

A.3 Subscription (built)

See chapter 8. Bookable creates a customer at Mollie with only an internal number of the Business (no name or email address). Bookable keeps per payment: type, amount, status, Mollie ids, type of payment method, period and any trial days; and per invoice: number, date, amounts and a snapshot of the details of the Business and of Bookable. Invoices cannot be changed or deleted.

A.4 Booking by a Customer (built)

  1. On the Business's booking page the Customer chooses a service, variant, extras, staff member and moment. That choice stays in the browser in sessionStorage until the tab closes, without personal data.
  2. The Customer confirms their email address with a code of 6 digits (at most 5 attempts; the code is deleted 1 day after it expires).
  3. The Customer fills in first name, last name, email address and mobile number, the answers to the Business's questions, and where needed: a child or animal they are booking for, the address for a home appointment (encrypted), and ticks for the cancellation rules, the house rules or a minimum age. When a box is ticked the app keeps a fingerprint of the text that the Customer accepted.
  4. If the Business asks for a deposit or the full amount, the Customer goes to Mollie (A.11). The booking is held until the payment has succeeded or the holding period expires.
  5. The Customer gets a confirmation email with a management link (a random code of 32 bytes, kept only as a hash, valid until 30 days after the appointment) and a calendar file (.ics). With that link they can view, move or cancel the appointment within the Business's rules, fill in an intake or upload documents, and, if the Business allows it, download a certificate.
  6. A Business can have bookings approved first. A reason for refusal is stored encrypted and goes into the email to the Customer.
  7. Other emails to the Customer: change, cancellation, reminder to pay a deposit, deposit expired, paid too late and refunded, request received, approved, refused or expired, and an offer from the waiting list. The Business gets a notification for new bookings and for certain payments. If the Business switches the function on, the app sends follow up emails to Customers, with a link to unsubscribe and optionally the Business's review link.
  8. Planned: a reminder before the appointment by email, WhatsApp or sms.
  9. No show: the Business can mark a booking as no show. The app counts this per Customer and keeps the amount that the Business can itself ask for. The Business can block a Customer or make a deposit mandatory.

A.5 Intake and documents in healthcare (built)

  1. The Business creates an intake with questions and marks sensitive questions. The intake and documents functions can only be switched on after acceptance of the Data Processing Agreement and the choice of a retention period (6, 12, 24, 60 or 120 months; there is no default).
  2. The Customer fills in the intake through their management link. Sensitive answers are only kept if they tick the separate consent box, which is not ticked by default; the app keeps the time and version of the consent. Without a tick the sensitive answers are dropped.
  3. Answers are encrypted (A.14). Only the owner and the staff member of the appointment see them; every view goes into the audit log.
  4. Documents (prescription, vaccination proof, report, inspiration photo or other): pdf, jpg, png or heic, at most 10 MB, at most 5 per appointment. The file goes through Bookable's server to the private bucket under a random name; the file name given by the Customer is not kept. A prescription, vaccination proof or report requires the Customer's consent. Downloading only goes through Bookable's server, for the owner or the staff member of the appointment, with an entry in the audit log.
  5. Every night at 3 o'clock the app deletes the intakes and documents whose retention period has passed.
  6. A course of treatment (for example a prescription for a number of sessions) keeps a name, a number of sessions, an end date and optionally the document with the prescription. The name never appears in an email or the audit log.

A.6 Treatment record and notes (built)

Notes per Customer (for example a colour formula, skin record or lesson card) are encrypted, with a history of versions. The owner sees all notes; a staff member only those of Customers with an appointment with them. The Business can choose a retention period per type; the nightly task then deletes the notes whose latest version is older. Without a choice they remain until the Customer is deleted. The ordinary "note" field on a Customer is not encrypted and is not meant for health data.

A.7 Certificates (built)

With the certificate function the app makes a numbered certificate (for example for the health insurance fund) with the details of the Business, the Customer, the service, the staff member with their accreditation number and the amount. The content is kept (not separately encrypted) and the pdf is regenerated each time. A certificate cannot be deleted; when a Customer is deleted the name becomes "Deleted customer".

A.8 Packages, session cards, gift vouchers and payment plans (built)

  • A package or session card is sold online or at the desk. Every purchase, every use and every return is recorded in a list that cannot be changed or deleted.
  • A gift voucher gets a random code that is kept only as a hash and appears only in the email. The buyer can add the name, email address and a message for the recipient. Anyone with the code can view the balance.
  • A payment plan in instalments works with a payment link per instalment, never with an automatic debit.

A.9 Waiting lists, classes and series (built)

  • After an email code a Customer can join a waiting list for a service and period, a class, a stay or a performance. If a place becomes free they get an email; for classes a place is briefly held with a link that is kept only as a hash.
  • Participants in a class are ordinary bookings. A series plans a number of appointments for a Customer in the management area.

A.10 Rooms (built)

  • A stay has an arrival and a departure; the link for the balance goes out by default 30 days before arrival, optionally with the security deposit.
  • Guest register: by default 3 days before arrival the guest gets an email with a link to check in. The Business sets per field whether it is mandatory, optional or off. Name, first name, nationality, arrival and departure are stored readable; date of birth, place of birth, number of the identity document and accompanied minors are stored encrypted. No copy of an identity document is kept. The owner can export the register per year. The default retention period is 7 years in Belgium and empty in the Netherlands; after the period the app reminds the owner, who confirms the deletion themselves. The app does not deliver the register to any authority.
  • Tourist tax: only a calculation with the Business's rates, without customer data.
  • iCal with platforms: the outgoing calendar per unit shows only "Occupied" with dates, without name or price, through a secret link (kept only as a hash). The link of a platform that the Business fills in is stored encrypted. From an imported calendar the app keeps only dates, an id and a shortened description; if a platform puts a name in that description, it may be kept in shortened form.

A.11 Customer payments through Mollie Connect (built)

See chapter 9. Bookable keeps per payment: the type (deposit, full, balance, security deposit), the amount, the refunded and charged back amount, the status, the id and the payment method at Mollie, the expiry time, the time of payment and the number of the proof of payment; per refund the amount, the reason, who started it and the id at Mollie. No card number or account number. The access keys of the Business's Mollie link are stored encrypted. Notifications from Mollie (webhooks) are deleted after 90 days.

A.12 Tickets (built)

A buyer orders online after an email code and pays through Mollie. Every ticket gets a QR code with only a random code (in the database only as a hash). The ticket shows no name, email address or amount. The owner and staff scan at the entrance; every scan is recorded. On cancellation of a performance the app refunds every order automatically from the Business's Mollie account. An optional pass number (for example UiTPAS) is stored encrypted and is not verified.

A.13 Sport and driving lessons, children and animals (built)

  • Driving licence: country, type, category, valid until and the number (encrypted, shown masked). One email 30 days before the expiry date.
  • Profile of a child: first name, date of birth and optionally a second parent, attached to the parent who books. Profile of an animal: the fields of the template, such as breed and weight class. Profiles are not separately encrypted.

A.14 Security of the data

See Annex 2 of the Data Processing Agreement. Encrypted in the app (AES-256-GCM, bound to the Business and the row): intake answers, notes and treatment record, address for a home appointment, reason for refusal, help requests from Customers, driving licence number, encrypted fields of the guest register, pass number, link of a platform calendar, and the secret for the second factor of Bookable's administrators. The access keys of Mollie are encrypted with an older form without that binding. Documents are encrypted at rest by Cloudflare, not additionally by the app.

A.15 Calendar, exports and deletion (built)

  • Every staff member and the Business can follow their calendar as an iCal subscription through a secret link (kept only as a hash). By default it shows only "Appointment", without Customer or service.
  • Exports: per Customer a zip (data, decrypted intake, documents), the payments as a csv, the guest register per year, and the counts for the tourist tax. Owner only. Planned: an export of all Customers and all bookings, and a complete export of the Business.
  • Deleting a Customer (owner only, by typing the name): intake, documents, help requests, treatment record, profiles, waiting lists, notes, links and email codes are removed; the Customer, answers, data of the recipient of a voucher, and name, email and mobile number in old lines of the audit log are anonymised; bookings, payments, orders, credits and certificates are kept for the bookkeeping. Deleting is not possible while there is a future booking, open credit or open payment.
  • There is no automatic retention period for payments, bookings, orders, credits and Customers, nor for the audit log. Those data are kept until the Customer or the Business is deleted. Bookable deletes the data of a Business that has stopped under 13.3.

A.16 Support and the administrators of Bookable (built)

  • Users can send a wish or a question to Bookable in the app. Bookable sees the name of the Business, the subject and the text, not the sender's email address.
  • Bookable's administration area sees per Business only the name, the trade, the country, the status of the trial and the subscription, and counts (bookings, payments, staff, services), never data of Customers. It uses its own database role that cannot read any tables of Businesses.
  • Looking along: see article 12 of the Data Processing Agreement.

A.17 Backups, logs and audit log

  • Backups: Render makes backups of the database with recovery to a moment in the past. The retention period depends on the plan at Render.
  • Audit log of the Business: who, when, which action, and the source (management, platform, system). The audit log of Bookable's administrators cannot be changed or deleted. No automatic retention period.
  • Hosting logs: technical logs at Render and, for the Website, at Bhosted, under their own settings. The queue logs only name and code on an error.

A.18 Planned, not yet in the Service

Reminders for appointments (email, WhatsApp through Meta, sms), two way calendar link with Google and Microsoft, a referral programme, error tracking with Sentry, a complete export of the Business and automatic deletion after the end. We announce every new subprocessor in advance under the Data Processing Agreement.

A.19 The Website bookable.be (built)

  • The Website runs on WordPress at Bhosted in the Netherlands. It has no accounts for visitors and sells nothing: it shows information and sends visitors on to the App (app.bookable.be/start).
  • Technical data: like every web server, the Website's server receives from every visitor the IP address, the time, the requested page and the browser details, and keeps them in technical logs at Bhosted. Bookable uses them only for the operation and security of the Website.
  • Cookie banner: a banner (Complianz) asks for consent for statistics and marketing. Without consent the Website places only functional cookies. The choice is stored in cookies of the banner and in the cookie bk_toestemming, which the App reads (see the overview of cookies).
  • Measurement: the Website loads Google Tag Manager (container GTM-NP99C85W) with Consent Mode v2. All consents for statistics and advertising are set to refused until the visitor chooses. After consent, Google Analytics 4 (measurement id G-V7T072JD1B) measures which pages are viewed and which buttons are clicked, including starting, viewing the prices, opening a question, opening the demo, getting in touch and sending a request. This comes with the language, the trade and the page, never a name or email address. Visits by logged in administrators of the Website are not measured.
  • Request forms: the Website has a request for a new account (with the option to choose a call to set up together) and a request for custom work or a website. The visitor fills in: email address, name of the business, trade, desired services and a desired moment (new account), or name, name of the business, mobile number or email address, what they are looking for and an explanation (custom work or website). With every request the Website also keeps the language, the form, the page and the origin of the visit: the utm data and click ids of an advertisement in the link, the referring site, the first page and the time of the first visit. The request is stored in the Website's database, as a private item, and sent by email to info@bookable.be. Against misuse the form uses a hidden field, a minimum filling in time and a counter of at most 5 requests per 10 minutes per IP address (a non reversible code, kept for 10 minutes). There is no third party captcha.
  • Origin in the browser: after consent for statistics or marketing the Website stores the origin of the first visit in the browser (bk_herkomst in localStorage). The start buttons on the Website pass utm data and click ids, the page and the button in the link to app.bookable.be/start.
  • Maps: on some example pages there is a Google Maps map. It only loads after consent for marketing.
  • Fonts and scripts of the Website are supplied by Bookable itself.

Annex B. Division of responsibility per sector

This annex belongs to article 5 (Role of Bookable and responsibility of the Business). It lists per sector examples of rules and risks that lie with the Business. The list is not complete: rules that are not listed here also remain the Business's responsibility. Bookable does not check whether the Business complies with those rules.

B.1 For all sectors

  • Bookable supplies software. Bookable is not a party to the agreement between the Business and its Customer, does not perform the Business's service and does not answer for its quality, safety or result.
  • The Business alone is responsible for: its prices and VAT rates; the information it must give to Customers; its cancellation terms, deposits, no show rules and house rules; its questions to Customers (including health questions); the legal basis and the consents it needs; the retention periods it sets; its permits, accreditations, diplomas and insurance; the answers to Customers' questions about their data.
  • Templates, default values and example texts in the app are a starting point. Fields about regulation (VAT, cancellation, retention period, house rules, guest registration, tourist tax, validity of vouchers) can always be changed by the Business. Where the app says "Have this checked by your professional association or lawyer" or "by your accountant", that is an invitation to really do so.
  • In the default services of the templates the app refuses some treatments that in Belgium are reserved for doctors or require special training (see B.3). That is an aid, not a check of what the Business adds itself.

B.2 Healthcare (physiotherapy, osteopathy, speech therapy, dietetics, podiatry)

The Business is responsible for, among other things:

  • its accreditation, visa or registration, the protection of its professional title and its professional ethics;
  • the diagnosis, the treatment, the advice and the result, and their consequences for the Customer;
  • the rights of the patient, such as the right to information, to consent and to a carefully kept patient file (in Belgium among others the law of 22 August 2002 on patients' rights; in the Netherlands the rules on the medical treatment agreement in Book 7 of the Civil Code);
  • the choice of the exception from article 9, paragraph 2 GDPR for health data, the consent text and the privacy text for its patients;
  • the retention period of medical data. Bookable is an aid for the appointment and not a complete patient file; the Business keeps its file under the rules of its profession;
  • the reimbursement by the health insurance fund or the health insurer, and the correctness of a certificate it makes with the app;
  • the decision which data it asks for in an intake (as few as necessary).

B.3 Beauty (nail studio, beauty salon, pedicure, lashes and brows)

  • The Business is responsible for its training and competence, hygiene, the products it uses (including the rules on cosmetic products) and the consequences of a treatment, such as allergic reactions or injuries.
  • Some treatments are in Belgium reserved for doctors or require special training (for example injections, fillers, laser, microneedling or deep peeling, and permanent make up). The app does not offer them as a default service, but the Business can add services itself; that falls entirely under its responsibility.
  • "Medical pedicure" is not a recognised title in Belgium; the Business does not use a title it has no right to.

B.4 Hair (hair salon, barber, grooming salon)

  • The Business is responsible for the treatment, the products, allergy tests and the result.
  • Grooming salon: the Business is responsible for the welfare and safety of the animals in its care, for the rules on animal welfare and for damage to or by an animal. Bookable only keeps the data that the Business fills in about the animal (for example name and breed).

B.5 Wellness (massage, wellness centre, yoga)

  • The Business is responsible for the safety of its spaces and installations (sauna, bath, steam room), hygiene, the suitability of a massage or class for a Customer, and the questions it asks about that.
  • A massage or class is not a medical treatment. The Business makes no medical promises that it may not make.

B.6 Sport and coaching (coaching, personal training, private lessons, driving lessons)

  • The Business is responsible for its diplomas, accreditations and insurance, and for safety during a training or lesson.
  • Coaching: the Business does not use a protected title without accreditation (for example psychologist or clinical psychologist) and does not give treatment that is reserved for a recognised healthcare profession.
  • Driving lessons: the Business is responsible for its accreditation as a driving school or instructor, for checking the provisional licence or learner permit and the supervision, and for the driving licence data it fills in in the app. Bookable does not check those data with any authority.

B.7 Rooms (B&B, guest rooms, holiday home, small hotel)

  • The Business is responsible for its permits and registrations (for example accreditation or notification with the competent tourism authority), fire safety, house rules and the state of the accommodation.
  • Guest registration: which data the Business must ask guests for, how long it keeps them and to whom it must deliver them (for example the police) differs per country and municipality. The fields and the default period in the app are a starting point. The Business delivers the data to the authority itself; Bookable does not do that.
  • Tourist tax: the app helps to calculate and show the amount with the rates that the Business fills in. The Business is responsible for the correct rate, the declaration and the payment to its municipality.
  • Security deposit: the Business decides on asking for, keeping and refunding a security deposit.
  • Calendars of booking platforms (iCal): the Business links its calendars of platforms such as Booking.com or Airbnb itself. Bookable is not responsible for double bookings due to delay or errors in that link, and the Business remains bound by the terms of those platforms.

B.8 Tickets (cinema, theatre, events)

  • The Business is the organiser. It is responsible for its permits, the safety and capacity of the venue, age limits and their checking, the information to buyers, and the programme.
  • On cancellation or postponement of a performance the Business decides on and pays the refund or the exchange. The Business sets the terms for resale of tickets.
  • Bookable does not check tickets at the entrance; the Business scans them itself with the app.
